What we collect and why
When you book a clean
| What | Why we need it |
|---|---|
| Your name | To know who we're coming to see |
| Mobile number | To text you a confirmation and let you know we're on the way |
| Email address | To send your booking confirmation and reference |
| Address and postcode | To find your car, and to check you're inside the area we cover |
| Vehicle size and service chosen | To work out the price and how long to allow |
| Date and arrival window | To hold your slot in the diary |
| Any notes you add | Things like where to park or which gate to use |
Our lawful basis: performing a contract with you. We can't clean your car without knowing where it is.
When you enquire about membership
We collect your name, mobile, email, postcode, how often you'd like a clean, the service you usually want, and any notes. We use this to ring you back and agree a regular slot. Nothing is charged and no subscription is set up at this stage.
Our lawful basis: taking steps at your request before entering into a contract.
When you contact us
Our contact form collects your name, email, phone number if you give one, your booking reference if you have one, and whatever you write in the message. We use it to answer you and to keep a record of what was asked and when.
Our lawful basis: our legitimate interest in responding to enquiries and keeping proper records of complaints and requests. For data protection requests, we are complying with a legal obligation.
Technical information
Our booking system records the IP address of requests for a short period. This is purely to stop automated abuse of the form. We don't use it to identify you or track you around the internet.
Our lawful basis: our legitimate interest in keeping the booking system working for real customers.
Cookies and tracking
We don't set any cookies. There's no analytics, no advertising pixels, and no tracking of any kind on this website. That's why you haven't been shown a cookie banner.
The site does load its fonts from Google Fonts, which means Google receives your IP address when the page loads. If you'd rather that didn't happen, most browsers and ad blockers can prevent it.
Who else sees your information
We keep this list as short as we can.
| Who | What they do |
|---|---|
| Google (Firebase) | Hosts our website and stores our booking records. Your data is held in Google's London data centres. Google acts on our instructions only. |
We take payment in cash or by bank transfer, so no card details ever pass through this website and we never see or store them.
We don't sell your information. We don't share it with marketing companies. We'd only hand it to anyone else if the law required us to.
Where your information is kept
Your booking records are stored in Google's europe-west2 region, which is
London. We chose this deliberately so your details stay in the UK.
How long we keep it
- Booking records: six years from the end of the accounting period they fall in. Companies are required to keep records for that long, and it also covers us both if there's a dispute about work we've done.
- Waiting list entries that don't become bookings: twelve months, then deleted.
- Contact form messages: two years, or six years where they relate to a complaint about work we carried out.
- Anti-spam records: a few days at most.
Marketing
We'll only send you marketing messages if you've asked us to. Booking a clean doesn't sign you up to anything. If we do send you something, every message will have a way to stop them, and we'll act on it straight away.
Your rights
Under UK data protection law you can ask us to:
- Show you what we hold about you
- Correct anything that's wrong
- Delete your information, where we don't have a legal reason to keep it
- Stop or limit what we do with it
- Send your information to you or someone else in a usable format
- Stop using it for our legitimate interests, where you object
Email hello@thefoamclub.co.uk, or use our contact form and choose "My data". We'll respond within one month, as the law requires. There's no charge.
If you're unhappy
Tell us first and we'll try to put it right. If you're still not satisfied you can complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. You can go to them at any point — you don't have to come to us first.
Changes to this notice
If we change how we handle your information we'll update this page and change the date at the top.
